Meeting Minutes for October 4, 2011

 In attendance:  Nancy Click (President), Debra Judy(VP/Programs), Judy Carnevale (President Elect), Carlene Medeiros (President Elect and Library/Historian), Liz Jones (Secretary), Linda Wyman(Treasurer), Mary Lee Rippl (Hospitality), Chris McMahon (Hospitality), Nancy Lynskey(Membership), Katie Conklin(Fundraising), Debra Stoner (Website), Shanna Huber (Research/Awards).

OFFICER & COMMITTEE REPORTS:

President:  Agenda distributed. Nancy Click welcomed everyone and called the meeting to order. The minutes from the June 1, 2011 were approved with the correction to attendance; Linda Wyman was mentioned twice. Nancy mentioned that a diabetic company had contracted her about having a display at one of our meetings. When she contacted Gabi she mentioned that it needs to be outside the meeting area and if there is a donation that there be no strings attached. It was suggested that Carol Lynne O’Neil check and see if other venders might also be interested. The January meeting was suggested for this activity. Nancy suggested adding a third goal; COASN will offer 3 dinner CE opportunities this year. 

The goals for this year are:                        

  1. Promote membership through a recruitment campaign.
  2. Recognize past committee members/officers.
  3. COASN will offer 3 dinner CE opportunities this year.

VP/Programs:  Tonight’s program is at Villa Milano. The speaker is Gabi Karpowicz, R.N., B.S.N., M.A. and the CE program is Documentation:  The OBN Laws and Rules-Standards, Issues and Guidelines. One CE will be awarded at the completion of the program.  Ninety  members are signed up for the program tonight.  The next program will be January 26, 2012. Two topics were suggested, special education and autism.  No venue has been booked.  We will also be recognizing past committee members and officers at this next meeting.

President Elect:  It was suggested that they look at what positions will be open for next year and start to recruit early.  Attached is the current list of the COASN Board and their terms.

Secretary:  No report.

Treasurer:  OASN is owed $20.00.  Before tonight the balance is $6,845.00. Every five years the state has to reinstate the organization. This involves a fee and Linda took care of this for the organization.  Also she opened a new checking account with 5th/3rd Bank.  The account needs to be set up as a non-profit.  Nancy suggested that we keep the same budget that we had last year.  Mary Lee proposed this motion be accepted and was seconded by Judy and agreed upon by all present.  The budget will be attached to  the  minutes.

Membership:  There are 132 members; 15 of which had never been members before. This represents 7 counties, 25 districts, 3 are retired and 1 student. 

Fundraising:  Katie is compiling recipes for a school nurse cookbook.  With some old shirts she found with a school nurse theme she made a bear.  She has a few more shirts and will be making additional bears to sell.  Some new items were snuggly socks and holders for making bake potatoes.  She was given the authority to price items older than a year for sale to move them. 

Website:  Debra Stoner asked for nurses to send pictures doing their professional duties to post on the area that is currently a blue box on the website.  She also mention a company called Constant Contact that will send out newsletters, memo’s, etc. for a small fee.  Deb will look into this and report back. 

Newsletter:  Date for submission will be October 31st and should be a word document.

Research/Awards:  Shanna said there have been no applications so far for the mini grants/special projects.  The updated forms are on the website.  Carol Lynne O’Neil was nominated for Ohio School Nurse of the Year but we haven’t heard back yet.  This was submitted in June 2011. 

Hospitality:  Mary Lee and Chris were put in change for deciding how to recognize past committee members, officers and School Nurse’s of the Year.  The plan is to do this during the January 2012 dinner meeting.  They provided the centerpieces for tonight that will be given away at the end of night.

Library/Historian:  Carlene brought up that she has a whole tubs full of materials and isn’t sure what to do with them.  This lead to a discussion that each member should write a job description related to that position.  This should be included in the notebook or materials that are passed on to their successors.  Mary Lee suggested we all get together to go through the materials Carlene had acquired.

OASN Representative:  No report; not present.

Legislation:  No report; not present.   Kate King mentioned that SB5 has the potential to have school nursing services contracted out.  She mentioned that Susan Craig and Bev Carter are also good resource for information.

Old Business:  None

New Business:  During the general meeting members will be reminded of the resources on the website and how to access the website.

Mary Lee made a motion to end the meeting; this was seconded by Linda and agreed upon by all present.

-After the board meeting the general meeting was called to order by Nancy.  She introduced the board members and they gave reports.  Members were encouraged to read reports, minutes and find forms by visiting the COASN website.  Bev Carter spoke about SB5.  The OASN liaison report was given by Kate King. Deb Judy spoke about programs and membership. Other board reports were given as reported in the Board meeting.  Carol Lynne mentioned that there is a part-time position at CHD for a school nurse.

-Nancy introduced tonight’s speaker Gabi Karpowicz, R.N., B.S.N, M.A. , who is a Supervisor for Columbus City Schools.  She will present the what, why and how of legal charting for school nurses.  This presentation will fulfill our 1.0 legal CE for 2013 license renewal. 

-  Names were chosen from the crockery of those in attendance to receive the fees for the OASN Annual Conference in Cleveland, April 19-22.  The alternate chosen was Sharon Schmitz. The centerpieces were also given away.

Next Board Meeting:  Prior to the January 26, 1012 meeting.

Report to COASN Board from OASN Representative
Judy Harmon RN, BSN, MPH

Overview: The OASN Board met on July 14th and July 28th to plan the year.

• A legislative visit toolkit will be created. Permission has been obtained from the Massachusetts School Nurse Organization to model our templates from their toolkit. The number one message to be delivered: Please make school health funding a priority for next year.

• Media campaign ideas were discussed. OASN may want to offer a contest to high school visual/media art departments to create a short video highlighting health needs of school children and school nurses. An invitation could be sent to OASN members to take back to their schools.

The OASN Board Conference call was held August 13, 2011

VP/Conference Chair Report: The annual conference will be held April 29 – 22, 2012 at the Cleveland Marriott.

New Business: A representative is needed for the Beacon Council – “Best Evidence for Advancing Child Health In Ohio Now” is needed. OASN is hoping someone from COASN would represent us.

OCUVSYC: Heidi Steiner reported that the Optometry Association is not overly supportive of school nurses doing screenings. Their stand is that every student should have their own eye exam.

Membership: January membership totaled 443 (continuing to trend down). Central has had a 8.42% decrease. Eva Garcher will send emails inviting members to join NASN.

School Nurse Mentor Program: OASN is developing a mentor program. The purpose is to provide information, encouragement and support to a new RN entering the specialty field of school nursing in Ohio.

Winners for the $250 project are:

Julie Fire at Devonshire ES with Columbus City Schools. With the money, she is going to purchase a Wii, extra controllers and 2 programs for the K-4 Multiple Disability Special Education classroom. “This would help the teachers of this classroom and the nurse promote being active and living a healthy lifestyle to these students in a manner that is age appropriate and realistic for them”.

Jennifer Young at Gahanna-Jefferson Public Schools. Her project “will promote dental health among first grade students. The money will be used to purchase pediatric dental kits containing: toothbrush, toothpaste, dental floss, toothbrush cover and a two-minute timer. The kits will be distributed to all first graders in coordination with dental health education lessons congruent with the district health curriculum course of study. The remainder of the money will be utilized to purchase health-oriented books to keep in the school clinic. All elementary students will have access to the books while in the clinic”.

Congratulations to Julie and Jennifer. We received four very worthy applicants and it was a tough decision and a close vote by the board. The scholarships will be available again next year. I encourage you to apply!

Meeting Minutes for January 26, 2012

OFFICER & COMMITTEE REPORTS:

President: Agenda had been e-mailed to everyone prior to the meeting. Additional agendas were distributed. Nancy Click welcomed everyone and called the meeting to order. Judy Harmon motioned for the minutes from the October 4, 2011 meeting be accepted, this was seconded by Carlene and approved by all in attendance. Nancy thought we should all review the COASN bylaws that are on the webpage in conjunction with positions that will be available in May. A motion was made by Judy to accept the $300.00 donation from Rachael Frazier of School Supply; it was seconded by Linda and approved by all present. The 2011/12 goals were review. The first goal to promote membership through a recruitment campaign is ongoing, there are 142 members. The second to recognize past committee members/officer will take place tonight. Those identified through records from 1996 to the present will receive a special name tag, thank you scroll and be recognized during the general meeting. The third goal is that COASN will present 3 dinner CE opportunities this year. The first was October 4, 2011, the second tonight and the third is planned for May 9, 2012.
President Elect: Judy and Carlene discussed the nominating process and open positions for next year. They will be talking to those in attendance tonight who might be interested. They also reviewed the list of members and looked for those interested in becoming involved as indicated on the application for membership. Those present also made suggestions and will talk to members regarding this. If more than one person is interested in a board or committee position a vote will take place at the next meeting. The follow positions that need to be filled for next year are president elect, secretary, hospitality, library/historian, membership, OASN Rep., research/awards and webmaster (one of two expires). The list of available positions along with the bylaws will be posted on the website.
VP/Programs: Ideas were discussed for the meeting in May including Alliance for drugs.
Secretary: No report.
Treasurer: Account balance is $8,162. There are a few small deposits to be made and tonight’s venue needs to be paid. Linda was asked to look at previous budget and show by category/committee how money has been spent so information can be used to formulate next year’s budget. Carolyn proposed and Judy second that the President and OASN Rep and the person awarded receive funding for the conference and hotel room. This motion was approved by all in attendance.
Membership: There are 142 members. Ideas for increasing membership include dinner for first time members. Another idea was starting membership drive before beginning of school year. It was suggested that perhaps having half year memberships. A subcommittee could be formed to look at this organizational goal.
Fundraising: Please continue to send Katie recipes to be in the fundraising cookbook. Her e-mail address is Kconklin541@wowway.com. New also is stereopsis cases and bears made with OASN logo shirts.
Website: No report.
Newsletter: Files should be sent to Roxanne in PDF; plan on getting articles or pictures to her no later that one week after the May meeting.
Research/Awards: Nobody has applied at this time. Feb 29th is the deadline for the mini grants.
Hospitality: Sixty six members have paid for tonight’s dinner meeting. Mary Lee and Chris will be putting together a basket for the OASN Conference in April. The centerpieces for tonight will be given away in a drawing at the end of the night.
OASN: Judy says on February 4th they will be having a conference call meeting. She mentioned that the OASN Annual Conference is Celebrating Ohio’s Healthy Children, Excellent with Distinction, School Nurses Make it Happen is April 20th-22nd in Cleveland. The theme of the conference is “Our Blue Ribbon Celebration”. The keynote speakers for the conference are Donna Mazyck and Dr. Charles Basch.  Members of OASN were sent out information regarding a media contest that includes a video submission. This information will be shared at the general meeting.
Legislation: No report.
Historian: Carlene has gone through the boxes of materials left from previous historians and has put together two notebooks and a scrapbook. She would also like a picture of this years board and committee chairs.

GENERAL MEETING

Nancy Click called the meeting to order during dinner. The meeting was held at Villa Milano. The information from the officers and committee members was shared with those in attendance.

Past committee members/officers were asked to stand and be recognized.

Mary Lee Rippl introduced the speaker Ali Cloth, PhD. The program was “Motivational Interviewing for School Nurses”. 1.5 Contact Hours will be provided after attending 100% of program and completion of evaluation form.

A drawing for the NASN conference was held after this informative program. The following names were drawn but only one will attend the conference held in San Francisco, California: Nancy Lynskey, Karen Borland, Jane Edwards and Ann Underwood.

Juanita Smith was our winner at the last meeting to attend the OASN Annual Conference to be held in April.

At the end of the meeting names were drawn to give away the beautiful centerpieces.

Carol Lynne O’Neil, RN, MS, CNS, licensed school nurse with Columbus City Schools has been named School Nurse of the Year by the Ohio Association of School Nurses.  She was recognized by Dr. Harris, Superintendent for Columbus City Schools and in April will be recognized during the OASN state conference held in Cleveland.  Nominated by peers, she is a highly respected and dedicated school nurse serving as a role model for colleagues and an articulate advocate for students and families.  Her innovative solutions, coordination of care, collaboration with community partners and passion for reducing barriers to promote academic success of students are guided by the nursing practice.  Carol Lynne’s clinical skills, wisdom, wit and leadership skills have contributed to her achievements and recognitions from local to national levels.  Her 20 years as an Infectious Disease Clinical Nurse Specialist and public health experience have enriched her practice of school nursing.

In additional to her school, Carol Lynne also serves as the districts Diabetes Resource Nurse.  Originating from a grant from the National Association of School Nurses (NASN) and the Centers for Disease Control, this district funded position enables her to addresses the needs of 200 students with diabetes. She assists with daily care coordination and management while providing education and resources to students, families, school nurses and staff.  She has secured several grants to purchase diabetes supplies/educational resources for students and school nurses. She also serves as an NASN trainer where she provides diabetes education to other school nurses.  Carol Lynne is also a member of the Central Ohio Diabetes Association Youth Board.

A school nurse for 9 years, Carol Lynne has served on the board of the Central Ohio School Nurse Association (COASN) for 7 years in various capacities including:  President, President Elect, Membership Chair, Co-Chair CNE Programs and Co-Planner, OASN state-wide conference.  She is a member of the National Association of School Nurses and Sigma Theta Tau Honor Society of Nursing.  District involvement includes: member of the Disaster Planning Team (developed/trained staff on emergency response/medical management and Pan Flu); collaborative research projects with Nationwide Children’s Hospital, OSU, NASN/CDC; developed Health Services website to house health forms/information; Forms and Practice Committee; CPR/First Aid Instructor; nursing preceptor.

Carol Lynne lives in Upper Arlington with her husband David, daughter Erin and son Ryan.
